<h3>Ten Ways to Secure Your Small Biz Computer Network</p>

<p>If you don&#8217;t have a full-time IT staff or a company like Plexus taking care of your computer infrastructure, here are 10 basic things you can do on your own to keep your office network running smoothly.</p>
<p>1. Keep Your Anti-Virus Program Current &#8211; Make sure your anti-virus program subscription is current and the software is updating properly. Just because anti-virus software came with your computer does not mean it is protecting you, so make sure. I do not recommend the Nortons and MacAfees of the world, the ones that usually come with a free trial on all new PCs these days. If you did not purchase the subscription I recommend instead installing the free versions of AVG or Avast which were ranked higher by Consumer Reports than the best known brands. For your servers, however, I recommend Trend Micro which will come at a very reasonable price, especially compared to the cost of recovering all your critical files from an infected server.</p>
<p>2. Use an Internet Gateway Appliance &#8211; You&#8217;ve probably heard the advertisements on the radio for spam blocking firewalls, but there are many equally effective, less expensive or free options, such as that from Untangle. These devices sit between your Internet connection and all of your computers to filter out any kind of junk whether it is hitching a ride on a website or an email. My feeling is that if a bug is trying to get into my house, I want to stop it at the front door rather than catch it in the kitchen, so let&#8217;s keep these things from ever reaching your computers</p>
<p>3. Be Vigilant &#8211; Even if the email is from someone you know, if you are not expecting an attachment, don&#8217;t open it. If the email includes a web link, are you sure you need to click it? If a sales guy shows up and wants to show you files he has on his flash drive, politely decline. A couple of years ago a colleague and I were interviewing local developers for a relatively small database project. As he twirled his shiny keychain flash drive on his finger, he offered to copy the data files so he could take a closer look at home and get back to us. Suffice to say we declined and said we&#8217;d get back to him.</p>
<p>4. Limit Employee Computer Use &#8211; If your employees have unfettered web access from their computers, you&#8217;re probably inviting trouble if they don&#8217;t need web access to perform their job duties. Appliances like Untangle can easily block, limit or monitor web activity by each user. For a cheap alternative, check my blog my post from back in January about a free and effective web blocking tool built right into Internet Explorer called Content Advisor.</p>
<p>5. Control CD Burners and External Media &#8211; CD/DVD Burners, Flash drives and cell phones make data incredibly portable. So portable that critical company data could walk right out the front door snuggly tucked away on the flash drive of a temp, or in the iPod of an unhappy employee. Just like the Internet, if they don&#8217;t need it to do their jobs, don&#8217;t give it to them. Here&#8217;s a link for free tools to turn off USB ports and CD burners.</p>
<p>6. You Must be &#8216;This High&#8217; to Go on this Computer &#8211; If kids visit the office, don&#8217;t let them on the computers. If you leave your computers on overnight, make sure to lock them (Control + Alt &#8211; Delete + Lock Computer). We wouldn&#8217;t want to tempt the cleaning crew or their kids, now would we?</p>
<p>7. Routine Maintenance &#8211; Back in the I Love You, Nimda and Melissa Virus days we pulled a few all nighters cleaning machine after machine that were infected, not because they did not have anti-virus software, but because they lacked the latest Microsoft patch that plugged a security hole. For workstations we recommend setting Windows Update to automatic. As needed the computer will receive and install needed Microsoft security and software updates. Make sure that your anti-virus is configured the same way. For servers, I recommend configuring it to download the updates, but let me choose when to install them. This way I can do the updates after hours or on the weekend so, if there are problems, I have plenty of time to fix it before people start showing up for work.</p>
<p>8. Secure Your Wireless Network &#8211; When Wi-Fi first came on the scene I could almost count on having a free Internet connection wherever I went thanks to people being too lazy or too intimidated to configure wireless network security. Today, however, they are easier than ever to secure, so make sure yours is before people start hanging out in your parking lot with a laptop and latte to surf your network and send god-knows-what to god-knows-who.</p>
<p>9. Windows File Permissions &#8211; The Windows operating system has got permission settings built into it to limit or grant access to people or groups. For example, if you have a folder with files you only want you and your accountant to access, but not Becky the Admin Assistant. Or, perhaps you have performance reviews to which only you should be privy, you can set that up as well. These are easy to set up, but you might require a little training first. Give me a call and I can walk you through the process. If you try it alone, practice on a new folder with dummy files rather than accidentally lock yourself out of the payroll folder.</p>
<p>10. Disaster Recovery &#8211; Some call this Disaster Prevention Planning, as in, let&#8217;s avoid having to recover to begin with, but I like the term Business Continuity Plan, as in, disaster or not, let&#8217;s make sure our business continues to run unaffected. No matter what you call it, do you have a plan and some mechanism in place to help you stay in business, or at least recover quickly if there&#8217;s a flood, an earthquake or someone forgets to pay the power bill? Trust me, I&#8217;ve seen all those things happen. If not, here are some questions to ask yourself when developing your plan:</p>
<p>Do I have an up-to-date, reliable backup of my data?</p>
<p>Do I know how to use the backup software to recover my data?</p>
<p>Do I have a copy of the software needed to run the data?</p>
<p>Do I have a computer to install the software and data on?</p>
<p>Once you have your plan in place, test it out so you can discover and fix its shortcomings then make sure everyone knows the plan exists and run through it with them.</p>

<div class="article_text">With faster machines cropping up almost daily, the life span of a midrange PC is a little more than two years of service. Physically, the computer you bought a few years ago is just as sound as any new piece of hardware. Ideally, it could probably last you a decade or two&#8211;as long as you didn&#8217;t add any new software or surf the Net. Realistically, that&#8217;s not likely to be the case. Instead of buying a new computer, optimize your present one. The following are 11 things that Chip Manufacturers and PC Retailers don&#8217;t want you to know or how to perform. Following these advices will drastically increase your PC performance and help you regain your sanity while saving loads of money. And, if your PC is years old and can&#8217;t afford to upgrade yet, you will be able to squeeze out some more juice out of the old thing!<strong>1. Disable file indexing.</strong> This is a tiny service that uses a great deal of RAM and induces much disk thrashing. Your system instantly becomes more responsive. Here&#8217;s how: First, doubleclick the My Computer icon. Then, right-click on the C: Drive, then hit Properties. Uncheck &#8220;Allow Indexing Service to index this disk for fast file searching.&#8221; Next, apply changes to &#8220;C: subfolders and files,&#8221; and click OK.</div>
<p><strong>2. Zap the Windows Prefetch folder every week.</strong> Windows XP can &#8220;prefetch&#8221; portions of data and applications that are frequently loaded. This allows processes appear to start faster when requested the user. Over time, the prefetch folder overwhelms with references to files and applications no longer in use. Guess what happens? Windows XP wastes time and grinds to a halt by pre-loading obsolete data. It helps you gain some performance on your XP Professional to periodically empty the prefetch folder.</p>
<p>The prefetch folder resides on your local hard disk, under the Windows folder.<br />
<em>%systemroot%\prefetch</em><br />
-or-<br />
<em>X:\windows\prefetch</em></p>
<p>Where X is the drive letter where you have Windows installed. Either path will get you to your local system. The second path is for those who have the default installation on the most commonly used drive letter, C:\</p>
<p><strong>3. Optimise Display Settings.</strong> Windows XP can look sexy but displaying all the visual items can waste system resources. Kill unnecessary animations, and nix active desktop. Here&#8217;s how to do it:<br />
1) Go to Start<br />
2) Click Settings<br />
3) Click Control Panel<br />
4) Click System<br />
5) Click Advanced tab<br />
6) In the Performance tab click Settings<br />
7) Leave only the following ticked:<br />
(1) Show shadows under menus<br />
(2) Show shadows under mouse pointer<br />
(3) Show translucent selection rectangle<br />
(4) Use drop shadows for icons labels on the desktop<br />
(5) Use visual styles on windows and buttons<br />
Feel free to play around with the options offered here, as nothing you can change will alter the stability of the computer &#8211; only its responsiveness.</p>
<p><strong>4. Remove the Desktop Picture</strong> Your desktop background consumes a fair amount of memory and can slow the loading time of your system. Removing it will improve performance.<br />
1) Right click on Desktop and select Properties<br />
2) Select the Desktop tab<br />
3) In the Background window select None<br />
4) Click Ok</p>
<p><strong>5. Remove Fonts for Speed</strong> Zap extra fonts fonts installed on their computer. Fonts, especially TrueType fonts, use quite a bit of system resources. The more fonts they have, the more lethargic the system will become. Anything over 300 fonts tax the system and slow down load times- especially graphic apps. For optimal performance, trim your fonts down to just those that you need to use on a daily basis and fonts that applications may require.<br />
1) Open Control Panel<br />
2) Open Fonts folder<br />
3) Move fonts you don&#8217;t need to a temporary directory (e.g. C:\FONTBKUP?) just in case you need or want to bring a few of them back. The more fonts you uninstall, the more system resources you will gain.</p>
<p><strong>6. Speedup Folder Browsing</strong> You may have noticed that everytime you open my computer to browse folders that there is a slight delay. This is because Windows XP automatically searches for network files and printers everytime you open Windows Explorer. To fix this and to increase browsing significantly:<br />
1) Open My Computer<br />
2) Click on Tools menu<br />
3) Click on Folder Options<br />
4) Click on the View tab.<br />
5) Uncheck the Automatically search for network folders and printers check box<br />
6) Click Apply<br />
7) Click Ok<br />

To prevent a single Windows Explorer window tanking up takes the rest of your OS down, you can launch separate folder windows in multi processes. Open My Computer, hit on Tools, then Folder Options. Click on the View tab. Scroll down to &#8220;Launch folder windows in a separate process,&#8221; and enable this option.</p>
<p><strong>7. Disable Performance Counters</strong> Windows XP has a performance monitor utility which monitors several areas of your PC&#8217;s performance. These utilities take up system resources so disabling is a good idea. To disable:<br />
1) download and install the Extensible Performance Counter List<br />
2) Then select each counter in turn in the &#8216;Extensible performance counters&#8217; window and clear the &#8216;performance counters enabled&#8217; checkbox at the bottom button below</p>
<p><strong>8. Optimise Your Pagefile</strong> Windows XP sizes the page file to about 1.5X the amount of actual physical memory by default. While this is good for systems with smaller amounts of memory (under 512MB) it is unlikely that a typical XP desktop system will ever need 1.5 X 512MB or more of virtual memory. If you have less than 512MB of memory, leave the page file at its default size. If you have 512MB or more, change the ratio to 1:1 page file size to physical memory size.<br />
1) Right click on My Computer and select Properties<br />
2) Select the Advanced tab<br />
3) Under Performance choose the Settings button<br />
4) Select the Advanced tab again and under Virtual Memory select Change<br />
5) Highlight the drive containing your page file and make the initial Size of the file the same as the Maximum Size of the file.</p>
<p><strong>9. Improve Memory Usage</strong> <a href="http://www.pc-washer.com/">PC Washer</a> improves the performance of your computer by optimizing the disk cache, memory and a number of other settings.</p>
<p>Once Installed:<br />
1) Click the &#8216;Tools&#8217; from the left menu<br />
2) Select &#8216;Memory Booster&#8217; in the tools list. A new window named &#8216;PC Turbo Memory&#8217; will popup.<br />
3) Click Defragment button in the new window.<br />
4) Exit the program. That&#8217;s all.</p>
<p><strong>10. Disable unnecessary services</strong> Windows XP loads services you will never need. To determine which services you can disable for your client, visit the Black Viper site for ideal Windows XP configurations. Here are a few services I booted off to streamline my PC:<br />
* Alerter<br />
* Background Intelligent Transfer Service<br />
* ClipBook<br />
* Computer Browser<br />
* Error Reporting Service<br />
* Help and Support<br />
* Indexing Service<br />
* IPSEC Services<br />
* Messenger<br />
* NetMeeting Remote Desktop Sharing<br />
* Network DDE<br />
* Network DDE DSDM<br />
* Performance Logs and Alerts<br />
* Portable Media Serial Number<br />
* QOS RSVP<br />
* Help Session Manager<br />
* Remote Registry<br />
* Secondary Logon<br />
* Server<br />
* Smart Card<br />
* Smart Card Helper<br />
* SSDP Discovery Service<br />
* System restore Service<br />
* TCP/IP NetBIOS Helper<br />
* Uninterruptible Power Supply<br />

<p><strong>11. Disconnect USB devices you aren&#8217;t using.</strong> When Windows starts, it must load all the drivers for the devices connected to your computer. If you have many devices connected to the USB ports, such as printers, scanners, cameras and hard drives that you don&#8217;t use on a regular basis, disconnect them. You can reconnect them when you use them. Disconnecting them when they are not in use will allow Windows to load the drivers only when needed.</p>
<p>The above steps should help increase the performance of Windows XP as well as keep it running with more stability.</p>

<div class="article_text">Many of today&#8217;s small businesses use PCs and a server network to facilitate their operations. Important company information is stored in electronic format on these networks, and daily operations are dependent on the network being both available and secure. In many cases, these small businesses ignore or are unaware of the risks that could compromise the safety of the data. To better understand these issues, two hundred of these small businesses were interviewed about their network security. Companies ranged from those with ten employees or less, to those with over a hundred staff members.Over half of the survey respondents believed that their network was adequately safe or very secure. A large number of respondents did admit that they doubted their defenses against an attack. This isn&#8217;t too surprising, as nearly all businesses have experienced some type of security threat in the last year, from lost computers or back-up takes, hacker attacks, viruses, or theft by employees.</div>
<p>The top three threats reported were:</p>
<p>1) Trojan horse or virus attacks 2) Stolen or lost computers, including data storage devices 3) Employee theft or hacker attack</p>
<p>Company defenses reported include:</p>
<p>1) Virus Protection 2) Firewall 3) Spyware Protection 4) Spam Filters</p>
<p>Recommendations:</p>
<p>Most companies reported that they lacked a smart password policy, automated patch management, and employee network use policies. Generally, many of these businesses don&#8217;t have full protection against an attack, and have not yet had to put their defenses to the test.</p>
<p>There isn&#8217;t one single fix to ensure secure continuity of operations on a network. However, we recommend a layered approach in managing these pressing security threats. This layered approach examines vulnerability in different areas including hardware, software, processes, and training. Every layer added another level of protection to the information environment.</p>

<p>To assure the continuity of your business operations, regular testing of these security measures is required.</p>
<p>Level of Overall Security:</p>
<p>Over half the respondents stated that they thought their network was secure enough or better. 30% of the remainder thought their network was only somewhat secure, and over 10% confided that their network was not as secure as it should be.</p>
<p>These small businesses tend to believe that their network is relatively secure: 63% of businesses with less than ten employees and almost 75% of those with between eleven and twenty-five staff members. The larger companies were not as sure of their defenses, with over half of those with fifty to one hundred and 44% of those with over a hundred employees felt secure or secure enough. In the fifty-one to one hundred staff category, over 20% reported that the network was not as secure as should be. In general, the bigger the company, the larger the network &#8211; and the greater the number of security risks it must defend against.</p>
<p>Experienced Threats:</p>
<p>The respondents reported on security lapses or attacks that they&#8217;d experienced over the last year. The survey showed that Trojan horses or virus attacks are the most common threat to the network, with about half reporting experiences with these issues in that time. The larger companies reported at 40%, the lowest rate, which is indicative of better defenses. Over 60% of the smallest companies reported virus-based attacks.</p>
<p>Loss of company information from theft or loss of storage devices appeared to be a minor threat for smaller companies, but this risk increases with company size. Over 33% of the larger firms reported this sort of experience. Hacker attacks were most often experienced by firms with less than ten employees and those with over a hundred. It seems the smaller networks are more vulnerable, and the largest ones are high-profile, with a greater chance of becoming a target. Unfortunately, staff members can create a security risk themselves; about 10% of businesses reported that they had experienced unauthorized access or theft in the allotted time frame.</p>
<p>Devices and Procedures:</p>
<p>Good procedures, processes and systems can help defend against security threats. In the survey, respondents were asked which security methods were in use. Most reported that they had virus protection and firewalls. Around 25% lacked spam filters and spyware removal, leaving networks open to malware which ranges from dangerous to annoying. Under 50% have patch management or a smart password policy in place. This smart password system uses passwords with a mixture of normal and special characters which are frequently changed.</p>
<p>As compared to the largest companies surveyed, smaller businesses are less-often implementing network use policies for employees. Over 80% of the larger companies have defined guidelines for proper and improper network use. These guidelines attempt to lower the amount of network activity unrelated to the business, which result in increased security risk. Many of the respondents use wireless networks. Wireless networks are some of the most vulnerable access points if not well-secured. Only a few companies reported that they use all the top-priority security measures listed in the survey.</p>
<p>Testing:</p>
<p>No security device or feature can be known to provide real defense until it&#8217;s been tested. Anti-virus specifications could be out of date, a hole could exist within a firewall, or staff members could not be using the correct practices for a safe and secure network. About 25% of respondents indicated that either they couldn&#8217;t remember the last time they tested their security, or didn&#8217;t know that they ever had. This seems to indicate that while many have implemented security defenses, they can&#8217;t be assured that the expected protection is actually provided.</p>
<p>The very smallest companies least-often tested their security measures. About 10% of businesses had tested security, but not for over a year. As the threats change over time, dangerous lapses can occur without periodic testing. Around 33% of respondents reported that they&#8217;d tested their security measures within the last month. Validation of network security elements on a regular basis is important to system integrity in an overall continuity plan. It is unfortunate that usually a company only examines its level of exposure after a damaging event which negatively affects the business.</p></div>
